Email is still the highest-converting channel most creators own, and it is also the one that eats the most writing time. ChatGPT can cut that time dramatically — but only if you brief it like you would brief a freelance copywriter, not like a search engine.
Start with context, not a request
The single biggest reason AI emails sound generic is that the prompt is generic. "Write a welcome email" gives the model nothing to work with, so it returns the average of every welcome email ever written.
Give it four things every time: who the reader is, what they just did, what you want them to do next, and the tone you write in. That one habit changes output quality more than any clever prompt trick.
Context-first welcome email
You're writing for [audience] who just subscribed to [newsletter] after reading [topic]. Tone: [warm, plain-spoken, lightly funny]. Write a welcome email under 180 words that sets expectations for what arrives and when, gives one quick win they can use today, and ends with a single soft call-to-action to [next step].
Write subject lines in batches, then cut hard
Subject lines are a volume game. Ask for fifteen, keep two. Batches also let you compare angles — curiosity, benefit, urgency, personal — instead of committing to the first idea.
Ask the model to label the angle behind each line. It makes picking a winner far faster, and it tells you which angles you lean on too often.
Labeled subject-line batch
Generate 15 subject lines for an email about [topic] to [audience]. Keep each under 50 characters. Label each with its angle (curiosity, benefit, urgency, personal, contrarian) and flag the three you'd test first.
Feed it your voice samples
Paste two or three of your best-performing past emails and ask the model to describe your voice back to you in a short style guide. Save that guide and reuse it at the top of every email prompt.
This is the difference between AI writing like you and AI writing like LinkedIn.
Voice style guide
Here are three emails I've written: [paste]. Describe my voice as a reusable style guide: sentence length, vocabulary, humor level, structure habits, and three phrases I use often. Then rewrite [new email topic] in that exact voice.
Let the model handle the boring sequences
Re-engagement emails, cart abandonment, post-purchase thank-yous, and blog-to-newsletter repurposing are formulaic by design. These are the best candidates for AI drafting because the structure is known and your edit pass is short.
Keep your human attention for the emails that carry your story or your pitch.
The takeaway
Brief ChatGPT with audience, trigger, goal, and voice — then batch, cut, and edit. The tool saves the drafting hours; you keep the judgment.
